Managing quote requests

Cleaning sites take quote requests from customers, and you answer each one with a price.

Quote requests are for cleaning sites. A customer describes the job on your quote request page, and it lands on the Quotes tab. You send a price by email and mark the request won or lost. Nothing is paid on the page: you agree on the price and the day with the customer.

Plan note: Quote requests are included in every plan. They work while the subscription or trial is active.

How customers ask

Customers use your quote request page. Its link is under Quote settings on the tab. In two steps they fill in:

  1. What needs cleaning? The Type of place (house, apartment, office or other), the size (Bedrooms, Bathrooms or Square feet), the Type of clean (standard, deep, move-in or move-out, after construction, or something else), How often (once, weekly, every 2 weeks or monthly), a preferred date if they have one, and Anything else?
  2. Your details: Name, Email, Phone (optional) and Address or ZIP.

They then see Request sent. They get no price until you send one.

The Quotes tab

The tab opens with the number of requests waiting for a quote, whether requests are Open or Closed, and how many are quoted or won. Under it:

  • Filter by All, New, Quoted or Won.
  • With more than eight requests, a search box appears: Search names, emails or addresses.
  • Each row shows the name, the service or type of clean, the type of place and the address. Once you have answered, the price shows under the status.

Before your first one, the tab says “When someone asks for a quote on your site, it shows up here and you get an email.”

Statuses

Status Meaning
New Waiting for your quote.
Quoted You sent a price or a message.
Won The customer went ahead.
Lost The customer did not go ahead.

Sending a quote

Click a row. The dialog shows the job, the size, how often, the preferred date, the address, the phone and the notes. Call, Message and Email contact the customer.

Owners then use Send a quote:

  1. Type a Price in your site's currency, like 180 or 180.50.
  2. Add a Message, for example what is included and when you can come.
  3. Click Send quote. You need a price, a message or both.

The customer is emailed at their address. The request becomes Quoted and the dialog keeps Your quote, with the amount and the time you sent it. To change the price, use Send a new quote.

Then use Mark as won or Mark as lost. A new request can go straight to lost. A quoted request can go either way, and a lost one can be marked won later. The customer gets no email for won or lost.

Add a Private note any time. Only you and your team see it. Editors can see requests but not answer them.

Emails

  • You: a New quote request email lists the job and the customer's details, with a Send a quote button. Replying writes to the customer.
  • The customer: Request received right away, then Your quote when you send one. They can reply to accept or ask a question.

New requests go to the site owners unless you set another address.

Quote settings

Under the list, Quote settings has:

  • Quote request page: the link to share, with a share button.
  • Take quote requests: turn off to close the form. Customers then see Quote requests are closed and are asked to contact you directly.
  • Send new requests to: an email address for new requests. Leave it empty to email the site owners.

Only owners can change these. Your price only goes to the customer you send it to.
