Managing registrations

Sports academy sites take registrations from families, and you accept, waitlist or decline each one.

Registrations are for sports academy sites. A family registers a player for a program on your registration page, and the request lands on the Registrations tab. Nothing is charged: fees and payment are arranged with you directly.

Plan note: Registrations are included in every plan. They work while the subscription or trial is active.

How families register

Families use your registration page. Its link is under Registration settings on the tab. In two steps they fill in:

  1. Who is joining? The Program (the program, team or class from your site, filled in when they start from a program on your site), the Player name and the Age or birth year.
  2. Your details: the Parent or guardian name, Email, an optional Phone, and an optional note, “Anything the coaches should know?”

They then see Registration sent, and you can take another from the same page with Register another player.

The Registrations tab

The tab opens with a count of registrations waiting for your answer, whether registrations are Open or Closed, and how many are accepted or on the waitlist. Under it:

  • Filter by All, Pending, Accepted or Waitlist.
  • With more than one program, Filter by program appears. With more than eight registrations, a search box appears: Search players, parents or emails.
  • Each row shows the player, the program, the age and the parent. The status sits on the right.

Before your first one, the tab says “When a family registers from your site, it shows up here and you get an email.”

Statuses

Status Meaning
Pending Waiting for your answer.
Accepted The player has a spot.
Waitlist The program is full for now.
Declined You could not take the player.

Answering a registration

Click a row. The dialog shows the player, the parent, the program, the phone and the note from the family, and when it was sent. Call, Message and Email contact the family.

Owners can:

  • Click Accept, Move to waitlist or Decline. You can change your mind later and move a registration between the three.
  • Write a Private note. Only you and your team see it.

Editors can see registrations but not answer them.

Emails

  • You: a New registration email lists the player, parent and details, with Accept, Move to waitlist and Decline links. They work without signing in. Replying writes to the family.
  • The family: Registration received right away. Then, when you answer, one of … is in, On the waitlist or Registration not accepted.

New registrations go to the site owners unless you set another address. Asking for the status a registration already has changes nothing and sends no email.

Registration settings

Under the list, Registration settings has:

  • Registration page: the link to share, with a share button.
  • Take registrations: turn off to close the form. Families then see Registration is closed and are asked to contact you directly.
  • Send new registrations to: an email address for new registrations. Leave it empty to email the site owners.

Only owners can change these. Spots on your site are shown to families only: you decide who gets in.
